Two products — one set of Terms These Terms and Conditions cover both the OH Specialists Hub Clinical Platform (clinic.ohspecialistshub.co.uk) and OH Advisor Pro (ohadvisor.pro). These are separate products with separate pricing and cancellation rules. Sections that apply to one product only are clearly labelled.

1. About Us

These Terms govern your use of our services. By accessing the clinical platform, creating an OH Advisor Pro account, or purchasing any service, you agree to be bound by these Terms.

2. Definitions

  • “Clinical Platform” means the OH Specialists Hub referral, case management, and clinical services platform at clinic.ohspecialistshub.co.uk
  • “OH Advisor Pro” means the standalone AI-powered occupational health advisory subscription product at ohadvisor.pro
  • “Manager” or “Referrer” means an employer or HR professional using the Clinical Platform to refer employees
  • “Employee” or “Patient” means the individual referred for or undergoing occupational health assessment
  • “Subscriber” means an individual or organisation holding a free or paid OH Advisor Pro account
  • “Practitioner” means Craig Page RGN DipOH, the treating occupational health clinician
  • “Appointment” means a booked occupational health consultation
  • “DNA” means Did Not Attend — an Appointment where the Employee fails to attend without 48 hours’ prior notice

3. Clinical Platform — Access and Eligibility

3.1 Manager Accounts

Access is by invitation only. Managers must accept the Data Processing Agreement (DPA), provide accurate information, and await approval before accessing platform features. Credentials must not be shared.

3.2 Employee Consent

No clinical assessment will take place without valid digital consent on record. Consent includes six declarations and is timestamped and audit-logged in accordance with UK GDPR Article 9.

3.3 Appropriate Use

Managers must only refer employees for legitimate occupational health purposes. The platform must not be used to refer individuals for purposes unconnected with employment, enter false referral information, access other organisations’ data, or circumvent the consent process.

4. Clinical Services — Pricing and Payment

Prices are inclusive of any applicable taxes and subject to change with no less than 14 days’ notice to registered Managers. Changes do not affect appointments already booked and paid.

4.2 Payment

Payment is collected at the time of booking via Stripe. A booking is not confirmed until payment has been successfully processed. No card data is stored on our servers — all payment data is held securely by Stripe (PCI DSS Level 1).

5. Clinical Services — Cancellations, Rescheduling, and Refunds

5.1 Cancellation by the Manager (Referrer)

Cancellations must be made via the platform or by contacting support@ohspecialistshub.co.uk. The time of cancellation is the time the notification is received by OH Specialists Hub.

5.2 Did Not Attend (DNA)

If an Employee fails to attend without providing at least 48 hours’ prior notice, the appointment is recorded as a DNA. The full appointment fee is forfeited and no refund will be issued. Requests for exceptional consideration may be submitted to support@ohspecialistshub.co.uk and will be assessed at the Practitioner’s sole discretion. We are under no obligation to grant such requests.

5.3 Rescheduling by the Manager

Managers may request a change of date/time by contacting support@ohspecialistshub.co.uk at least 48 hours before the original appointment. Where a valid request is received, the original payment transfers in full to the new appointment — no additional charge applies. Requests made less than 48 hours before the appointment are treated as a cancellation (Section 5.1). A maximum of one reschedule per booking is permitted.

5.4 Cancellation by OH Specialists Hub

In exceptional circumstances (practitioner illness, bereavement, force majeure), OH Specialists Hub may cancel an appointment. The Manager will be notified as soon as reasonably practicable and offered a full refund or rescheduled appointment. No further liability is accepted beyond the refund of the appointment fee.

6. OH Advisor Pro — Subscription Terms

6.1 Product Description

OH Advisor Pro is a standalone AI-powered occupational health advisory tool, separate from the Clinical Platform. It provides informational guidance only — it does not constitute clinical advice, a clinical opinion, or an occupational health assessment, and is not a substitute for a qualified occupational health professional.

† Founders Pricing The £47.00/month rate applies to the first 100 paid subscribers across both products. Subscribers who join at the Founders Price retain that rate for as long as their subscription remains active and in good standing. OH Specialists Hub reserves the right to increase the standard price for new subscribers once the first 100 paid subscribers have been reached (30 days’ notice). If a Founders Price subscriber cancels and subsequently resubscribes, the Founders Price is not guaranteed.

A “session” means a single chatbot interaction initiated within the subscriber portal. Session counts reset on the first day of each calendar month. Unused sessions do not roll over.

6.3 Subscription Billing

Paid subscriptions are billed monthly in advance on a rolling basis via Stripe. By providing payment details and upgrading, you authorise OH Specialists Hub to charge your payment method on a recurring monthly basis until the subscription is cancelled.

6.4 Cancellation of OH Advisor Pro Subscriptions

  • Cancel at any time via My Account → Stripe Customer Portal
  • Cancellations take effect at the end of the current billing period — you retain full paid tier access until that date
  • No partial refunds for unused days, except as provided under the statutory right to cancel (Section 6.5)
  • On cancellation, your account is automatically downgraded to the relevant free tier (10 sessions/month). Your account and data are not deleted
  • Free tier accounts may be closed by contacting support@ohspecialistshub.co.uk

6.5 Statutory Right to Cancel (Consumer Contracts)

If you are a consumer, you have a statutory right to cancel within 14 days of your subscription beginning under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. By proceeding with your subscription and accessing the service, you expressly request that we begin providing the digital service immediately. If you cancel within the 14-day period but have already used the service, we may deduct a proportionate amount from any refund. If you have not used the service at all, you are entitled to a full refund.

To exercise this right, contact support@ohspecialistshub.co.uk with the subject line “Statutory Cancellation — OH Advisor Pro”. We will process your request within 14 days.

This statutory right applies to consumers only. Business subscribers are subject to Section 6.4 only.

6.6 Price Changes

Founders Price subscribers are protected from price increases for as long as their subscription remains active and in good standing. For all other subscribers, no less than 30 days’ written notice of any price increase will be given by email. Continued use after the effective date of the price change constitutes acceptance of the new price.

7. AI Disclaimer — OH Advisor

The OH Advisor (in all versions) is an AI-powered tool and not a regulated medical device or clinical service:

  • AI-generated responses are informational only and do not constitute clinical advice, diagnosis, or an occupational health assessment
  • The OH Advisor cannot and does not replace a qualified occupational health professional
  • Content should not be relied upon as the sole basis for employment or health-related decisions
  • OH Specialists Hub does not accept liability for decisions made in reliance on OH Advisor output without independent professional verification
  • Professional responsibility for all report content rests solely with the treating clinician
  • AI responses may contain errors, omissions, or outdated information

8. Data Protection

OH Specialists Hub is registered with the ICO (ZC115930) and processes personal data in accordance with UK GDPR and the Data Protection Act 2018. By using our services, you acknowledge that your personal data will be processed as described in our Privacy Policy. 9. Intellectual Property

All content, software, design, and materials on the Clinical Platform and ohadvisor.pro are the intellectual property of OH Specialists Hub or its licensors. You may not copy, reproduce, distribute, or create derivative works from any part of our platforms without prior written consent.

9.1 OH Advisor Pro — Brand and Name

“OH Advisor Pro” and “OH Advisor HR” are proprietary product names of OH Specialists Hub. You may not use, register, or apply to register these names, or any name confusingly similar to them, as a trade mark, company name, domain name, or product name without our prior written consent.

9.2 Proprietary Knowledge Base

The OH Advisor knowledge base — comprising occupational health guidance content, structured Q&A frameworks, clinical scenario libraries, legislative reference material, and all associated indexed data — is proprietary to OH Specialists Hub (the “Knowledge Base”). You are granted a limited, non-exclusive, non-transferable licence to access Knowledge Base content solely through the OH Advisor interface for your own internal occupational health guidance purposes. You must not:

  • Systematically extract, scrape, copy, or reproduce Knowledge Base content by automated or manual means
  • Attempt to reconstruct, reverse-engineer, or replicate the Knowledge Base
  • Use Knowledge Base content to train, fine-tune, or develop any competing AI model or product
  • Redistribute, publish, sublicense, or commercialise Knowledge Base content in any form

Unauthorised extraction or use may constitute infringement of copyright and/or database rights under the Copyright, Designs and Patents Act 1988.

9.3 Proprietary Task Editor

The Task Editor — including its UI design, underlying prompt architecture, workflow logic, configuration schema, and any task templates created by OH Specialists Hub — is the exclusive intellectual property of OH Specialists Hub. Your licence to use the Task Editor is limited to creating and running triage workflows for your own occupational health practice within OH Advisor Pro. You must not copy, replicate, or export the Task Editor or OH Specialists Hub-authored templates for use outside the platform without prior written consent.

Task templates you create yourself remain your content. By creating them within the platform, you grant OH Specialists Hub a limited licence to process and store that content for the purpose of delivering the service.

10. OH Advisor Pro — Licensing to Third Parties

10.1 Licensing Framework

OH Specialists Hub offers commercial licences to third-party organisations (“Licensees”) to embed OH Advisor Pro and/or OH Advisor HR within their own websites, portals, or platforms. Eligible Licensees include occupational health practices, HR software vendors, occupational health networks, EAP providers, and related organisations. Each licence is granted under a separate written Licence Agreement.

10.2 What the Licence Covers

Subject to the applicable Licence Agreement, a licence grants the right to embed the OH Advisor product, make it available to the Licensee’s end users, and request the development of custom directives (at additional cost).

10.3 What the Licence Does Not Cover

Unless expressly stated otherwise, a licence does not grant access to the Knowledge Base or Task Editor, sublicensing rights, the right to represent the product as independently developed technology, or white-label rights (available at additional cost — see Section 10.5).

10.4 Build, Maintenance, and Control

OH Specialists Hub retains sole and exclusive control over the build, architecture, codebase, knowledge base content, and ongoing maintenance of OH Advisor Pro and OH Advisor HR in all licensed deployments. Licensees have no right to modify the underlying product.

10.5 White-Label Arrangements

White-label arrangements are available at additional cost agreed in the Licence Agreement. OH Specialists Hub retains all IP rights regardless of branding applied. White-label rights are non-transferable and terminate on termination of the Licence Agreement.

10.6 API Costs

Licensees are responsible for all Anthropic API costs under their own API account and key. The monthly licence fee does not include API costs. OH Specialists Hub accepts no liability for Anthropic API costs, rate limits, service interruptions, or pricing changes affecting Licensees.

10.7 Licence Fees and Billing

Monthly licence fees are agreed individually per Licence Agreement, payable monthly in advance. OH Specialists Hub reserves the right to review fees on no less than 30 days’ written notice.

10.8 Termination of Licence

Either party may terminate a Licence Agreement by giving written notice as specified in the applicable Licence Agreement. OH Specialists Hub may terminate with immediate effect for material breach (unremedied within 14 days of notice), non-payment for 30 days or more, insolvency, or harmful/unlawful use. Upon termination, embed access is revoked and the Licensee must remove all references to the product within 14 days.

10.9 Licensee Obligations

Licensees are responsible for GDPR compliance for their end users’ use of the embedded product, informing end users that the tool is informational only, not permitting input of Article 9 health data into OH Advisor HR, and complying with all applicable laws.

11. Limitation of Liability

To the fullest extent permitted by law:

  • OH Specialists Hub’s total liability shall not exceed the total amount paid by you to OH Specialists Hub in the 12 months preceding the claim
  • We shall not be liable for any indirect, consequential, incidental, special, or punitive damages
  • We do not exclude or limit our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by English law

Nothing in these Terms affects your statutory rights as a consumer.

12. Suspension and Termination of Access

OH Specialists Hub reserves the right to suspend or terminate your access if you breach these Terms, we reasonably suspect fraudulent or unlawful activity, you attempt to circumvent usage limits or access controls, payment fails and is not remedied, or we are required to do so by law. Clinical data will be retained in accordance with our Privacy Policy and applicable law.

13. Complaints

Contact support@ohspecialistshub.co.uk. We aim to acknowledge all complaints within 2 working days and provide a full response within 14 working days. If you remain dissatisfied, you may refer data handling complaints to the ICO or clinical complaints to the NMC.

14. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to any mandatory consumer protection rights you may have in your place of residence.

15. Changes to These Terms

We may update these Terms from time to time. We will notify registered users of any material changes by email and by posting notice within the relevant platform no less than 14 days before the changes take effect. The current version is always available at ohspecialistshub.co.uk/legal/terms.html.
